Quick verdict

Zapier is the automation tool we recommend when you keep copying the same information from one app into another. You build a “Zap”: something happens in one app (a form is submitted, a deal is won, an email arrives), and Zapier carries out one or more actions in other apps. No code, no servers, and it connects to thousands of apps, which is still its biggest advantage.

The trade-off is cost at scale. Zapier bills by tasks, and busy workflows use them up quickly, so a setup that is cheap for a freelancer can become a real line item for a growing team. Cheaper and more technical tools exist, but none match Zapier’s mix of app coverage and ease of setup. For most small businesses, that ease is worth paying for.

Bottom line

Try the Free plan to see if automation saves you time, then move to Professional for multi-step Zaps and premium apps. Team is for groups that share and manage Zaps together.

Pros & cons

What we liked

  • Connects more apps than any other no-code tool
  • Building a Zap feels like filling in a form
  • Multi-step Zaps, filters and paths handle real logic
  • Built-in tools for formatting data, delays and webhooks
  • Tables and Interfaces add simple data storage and forms

What we didn’t

  • Task-based pricing gets expensive for busy workflows
  • The free plan only runs simple Zaps
  • Complex branching gets hard to read and debug
  • Some apps are premium and need a paid plan
  • Cheaper rivals offer more control for technical users

Pricing & plans

Zapier has a free plan and paid tiers that scale with how much automation you run each month. Every plan comes with a task allowance, and you can choose a higher allowance on the same plan if you need it. Yearly billing is cheaper than monthly. Paid plans also run Zaps more often, so changes in one app show up in the next one sooner. See the current plans below.

How task-based billing works

A task is counted each time a Zap successfully completes an action. The trigger that starts a Zap doesn’t count, and neither do filter steps that stop it. So a Zap that adds a lead to your CRM and then posts a Slack message uses two tasks every time it runs. Multiply that by how often the trigger fires, and you have a rough idea of your monthly usage.

The practical lesson is to filter early. Put a filter right after the trigger so Zaps only continue for the records you care about, and avoid steps that run on every item when you only need a few. Zapier shows task history for each Zap, which makes it easy to spot the one quietly eating your allowance before you upgrade.

Feature checklist

Here’s how Zapier covers the features we look for in an automation platform.

Multi-step workflows✓ Yes
Branching logic✓ Yes (Paths on paid plans)
Webhooks✓ Yes
Self-hosting✕ No
AI steps✓ Yes

Ease of use

Zapier is the most approachable automation tool we cover. The editor walks you through each step: pick an app, pick an event, connect your account, map the fields, then test with real sample data. You can also describe what you want in plain language and let Zapier draft the Zap, which is a handy starting point, though you should still check every field mapping before turning it on.

  • Templates give you ready-made Zaps for common jobs, such as saving email attachments to cloud storage.
  • Filters and paths add “only if” and “if this, then that” logic without code.
  • Formatter cleans up names, dates and numbers between apps.
  • Zap history shows each run and where it failed, so you can fix and replay it.

Where it gets harder is maintenance. A dozen Zaps built by different people, each with a few paths, can become difficult to follow. Name your Zaps clearly, keep them in folders, and note who owns each one. On the Team plan, shared folders and permissions help keep that under control.

Integrations

Integrations are the whole point of Zapier, and its app directory is the largest in the no-code space, covering everything from Google Workspace, Slack and Microsoft tools to niche industry apps. If an app isn’t listed, webhooks and the built-in API request step can usually fill the gap, as long as the app has an API you can reach.

Who Zapier is for

Choose Zapier if you…

  • repeat the same copy-and-paste work between apps
  • want automation without writing code
  • use niche apps that other tools don’t support
  • need something a non-technical teammate can maintain

Look elsewhere if you…

  • run very high volumes where task costs add up
  • are comfortable with a more technical, visual builder
  • need to self-host automation for data reasons
  • only need one integration your apps already offer natively

Zapier alternatives

See all Zapier alternatives ranked. If you want to see Zapier in action first, our guide to sending new leads to your CRM and Slack walks through a real multi-step Zap from trigger to test. Most people who move away from Zapier do it for price at high volume or for more technical control, not because it can’t do the job.

Frequently asked questions

Is Zapier free?

Yes. The Free plan lets you build simple Zaps with a small monthly task allowance. It’s enough to learn the tool and automate one or two small jobs. Multi-step Zaps and premium apps need a paid plan, so most businesses that rely on automation end up on Professional.

What counts as a task in Zapier?

Each successful action step counts as one task. Triggers and filters that stop a Zap don’t count. A Zap with three action steps uses three tasks every time it runs all the way through.

Do I need to know how to code to use Zapier?

No. Most Zaps are built entirely by choosing apps and mapping fields. Code steps and webhooks are there if you want them, but they’re optional.

Does Zapier have a lifetime deal?

No. Zapier is subscription-only. Check our deals page for any current promotions, and confirm task allowances on Zapier’s own pricing page.
