Task management · Best personal task manager- Natural-language task entry
- Works on every device
- Clean, fast and calm
Notion can do almost anything, but that freedom means a lot of setup, and teams that live in tasks often want something more structured. Below are the tools we'd look at instead, ranked, with a plain guide to which one fits the reason you're leaving.
Still our Best all-in-one pick — but it isn't the right fit for every team.

Most people don’t leave Notion because it’s bad. They leave because one part of it doesn’t fit how they work. Start with the reason, and the right replacement usually becomes obvious. It’s also worth asking whether you need to leave at all, or just add a second tool next to it.
Notion databases can act as a task board, but dependencies, workload views and recurring work take effort to build. ClickUp gives you all of that out of the box, plus docs, so it’s the closest like-for-like swap. If your team wants something calmer and easier to learn, Asana is the better pick.
A blank page is great if someone enjoys building systems. If nobody does, pick a tool with opinions. monday.com starts you on ready-made colourful boards that most people understand at a glance, and Asana’s projects work sensibly from day one.
Plenty of solo users end up with a Notion workspace that’s really just a task list. Todoist does that job faster: natural-language input, reminders and apps on every platform. Keep a simple notes app for everything else.
If your Notion is mostly process docs, a dedicated SOP tool such as OpsBliss may suit you better. Be aware it’s a young product sold as a lifetime deal, so check the refund window, the roadmap and how you’d export your data before you commit. Our deals page explains what to look for.
For tasks, ClickUp’s Free Forever plan covers the most ground. For a personal to-do list, Todoist’s free plan is simpler. Both have usage limits, so check the current plans on each review.
For managing projects, usually yes. For writing docs and wikis, Notion still feels nicer. Our Notion vs ClickUp comparison goes through it side by side.
Yes, and many teams do. Pair Notion with Asana or Todoist and connect them through Zapier if you want tasks and pages to reference each other.
