Quick verdict

HubSpot CRM is the tool we recommend when a small business is still tracking leads in a spreadsheet or an inbox. The free plan gives you a proper contact database, deal pipelines, email tracking, meeting links and forms, and it lets your whole team log in. For many small teams, it’s all the CRM they need for a long time, and the clean interface means people tend to keep using it rather than drifting back to spreadsheets.

The catch comes later. HubSpot is built to grow into its paid Marketing, Sales and Service Hubs, and the jump from Starter to Professional is steep. That’s fine if you outgrow the basics because the business is growing, but it’s worth knowing before you build every process around it. Start free, upgrade only for features you can name, and you’ll get excellent value.

Bottom line

Begin on the Free plan and stay there as long as it fits. Move to Starter when you want to remove HubSpot branding and add simple automation. Treat Professional as a deliberate investment, not a default upgrade.

Pros & cons

What we liked

  • Genuinely useful free CRM for the whole team
  • Clean, easy interface that people actually use
  • Email tracking, meetings and forms built in
  • Marketing, sales and service tools share one database
  • Large app marketplace and strong learning resources

What we didn’t

  • Professional tiers are a big price jump
  • HubSpot branding on free and entry-level tools
  • Advanced automation and reporting are locked to higher plans
  • Pricing across Hubs can be confusing
  • Easy to get locked in once processes depend on it

Pricing & plans

HubSpot’s core CRM is free, and paid features come through its Hubs, sold in tiers. Starter is affordable and removes many limits of the free tools. Professional adds serious automation, custom reporting and sequences, at a much higher price. Yearly commitments are common on higher tiers. See the current plans below.

We highlight Starter because it’s the sensible first paid step for most small teams. It keeps the familiar CRM, removes the most visible branding and limits, and adds enough automation to handle routine follow-ups. Professional makes sense when you have a dedicated marketer or sales manager who will use sequences, custom reports and advanced workflows every week.

How HubSpot billing works

Paid plans are charged per seat, meaning per team member who needs the paid features. Marketing tools also scale with the number of marketing contacts, the people you actually send marketing email to, so a large database doesn’t automatically mean a larger bill. Higher tiers have historically included a one-time onboarding fee, so confirm that on HubSpot’s pricing page before you budget.

The simplest way to stay in control is to buy only the Hub you need. A sales-led business may never need Marketing Hub, and a service team may only need Service Hub. Bundles look convenient, but paying for tools nobody uses is the most common way HubSpot gets expensive.

Feature checklist

Here’s how HubSpot CRM covers the features we look for in a small-business CRM.

Ease of use

HubSpot is one of the easiest CRMs to adopt. Contacts, companies, deals and tickets each have a clear record page with a timeline of every email, call and meeting. Most people can find their way around without training, which matters, because a CRM only works if the team actually uses it.

  • Deal pipelines show every opportunity as a card you drag between stages.
  • Email extension for Gmail and Outlook logs emails and shows when they’re opened.
  • Meetings links let prospects book time that lands straight on the contact record.
  • HubSpot Academy offers free courses if you want to learn the system properly.

Complexity creeps in as you add Hubs. Settings, properties and permissions multiply, and the menu grows long. Decide early which properties matter, keep pipeline stages simple, and assign one person to own the setup. A short internal guide on how your team logs calls and moves deals will do more for data quality than any extra feature.

Integrations

HubSpot’s app marketplace is one of the largest of any CRM, with native connections to Gmail, Outlook, Slack, Zoom, Shopify, WordPress and many more. Because marketing, sales and service share one database, data you collect in one place is visible everywhere, and Zapier covers the apps that aren’t listed.

Who HubSpot CRM is for

Choose HubSpot CRM if you…

  • want a capable CRM without paying anything at first
  • need the whole team to adopt it quickly
  • plan to add marketing or service tools later
  • want email tracking and meeting links in one place

Look elsewhere if you…

  • need advanced automation on a tight budget
  • want email marketing as the main focus (see ActiveCampaign or Brevo)
  • dislike vendor lock-in across many tools
  • need a highly customized, industry-specific CRM

HubSpot CRM alternatives

See all HubSpot CRM alternatives ranked. If email marketing matters more than sales pipelines, read our ActiveCampaign review for deeper automation with a built-in CRM, or our Brevo review for lower-cost sending. Both cost less than HubSpot’s Professional tiers for marketing-heavy work, and either can sit alongside the free HubSpot CRM if you want to keep your pipeline where it is.

Frequently asked questions

Is HubSpot CRM really free?

Yes. The core CRM is free with no time limit, and your team can use it together. The free tools have usage limits and HubSpot branding, and advanced features need a paid plan.

When should I upgrade to Starter?

Upgrade when the free limits get in your way: you want to remove branding from emails and forms, use simple automation, or need more of the tools your team relies on daily.

Can HubSpot replace my email marketing tool?

For basic newsletters, the free and Starter marketing tools can. For behavior-based automation at a reasonable cost, a dedicated tool like ActiveCampaign or Brevo is usually better value.

Does HubSpot have a lifetime deal?

No. HubSpot is free or subscription-based. Check our deals page for any current promotions on paid plans.
