Quick verdict

Todoist is the task manager we recommend for anyone who wants their to-do list to be fast, reliable and everywhere. You type a task the way you’d say it, like “send invoice every Friday”, and Todoist sets the due date and repeat for you. It runs on every major platform, syncs quickly, and stays out of your way.

It’s a personal productivity tool first. Shared projects and the Business plan work fine for small teams, but there are no Gantt charts, workload views or built-in time tracking. If you need to manage projects across a team, a tool like Asana or ClickUp fits better. If you need to manage your own day, Todoist is hard to beat.

Bottom line

Start on the free Beginner plan. Upgrade to Pro when you want reminders, more projects and the calendar layout. Business only makes sense for small teams sharing work.

Pros & cons

What we liked

  • Natural-language input makes adding tasks very fast
  • Clean apps on every major platform with quick sync
  • Filters and labels scale from simple lists to detailed systems
  • Recurring tasks handle almost any schedule
  • The free plan is enough for many individuals

What we didn’t

  • Reminders and some views need a paid plan
  • Light on team features like workload and dependencies
  • No built-in time tracking
  • No Gantt or timeline-style project planning
  • Notes and attachments are basic

Pricing & plans

Todoist keeps pricing simple: a free plan for personal use, a paid plan for individuals who want more, and a team plan billed per member. The free plan limits the number of projects and leaves out reminders, which is usually what pushes people to upgrade. See the current plans below.

How billing works

Pro is a single-person subscription, and Business is charged for each member of the team workspace. Both are cheaper when billed yearly. Because the paid tiers add convenience rather than lock away your data, you can drop back to the free plan later and keep your tasks, though you may lose access to some features.

For most individuals, Pro is the plan that matters. Reminders alone make it worth considering if you use Todoist for anything time-sensitive, and the calendar layout, longer activity history and extra projects make it comfortable for running both work and personal life. Business is a good fit for a small team that already likes Todoist and wants a shared workspace with simple admin controls, but it isn’t a substitute for a real project management tool.

Feature checklist

Here’s how Todoist covers the features people ask about most.

Ease of use

Todoist is one of the easiest apps in this category. Add a task, give it a date, and it lands in Today when it’s due. The depth is there when you want it, through priorities, labels, filters and sections, but you never have to touch it. Most people are productive within minutes.

The risk with any to-do app is that the list grows faster than you finish it. Todoist helps with a few gentle tools: priority levels to separate what matters from what doesn’t, an Inbox for quick capture that you sort later, and productivity trends that show how much you complete over time. None of these force a method on you, so it works whether you follow a system like Getting Things Done or simply keep a daily list.

  • Quick Add understands dates, projects, labels and priorities as you type.
  • Today and Upcoming views show what’s due without any setup.
  • Board layout turns any project into simple columns for light workflows.
  • Mobile apps and widgets make capture on the go as fast as on desktop.

Integrations

Todoist connects with Google Calendar, Outlook, Gmail, Slack and voice assistants, and Zapier links it to almost anything else. You can forward emails into Todoist to turn them into tasks, and the browser extension lets you save a web page as a task with its link attached. The calendar integration shows your scheduled tasks next to meetings, which helps you plan a realistic day. If you want to track time on your tasks, Toggl Track adds a timer button through its browser extension.

Frequently asked questions

Is Todoist free?

Yes. The Beginner plan is free and covers tasks, recurring dates and a limited number of projects. Reminders and some views need Pro.

Is Todoist Pro worth it?

If you rely on reminders or keep more than a handful of active projects, yes. If a simple list with due dates is enough, the free plan may be all you need.

Can teams use Todoist?

Yes. Shared projects, comments and assignees work well for small teams, and the Business plan adds a shared workspace and admin controls. Larger teams usually need a full project management tool.

Does Todoist work offline?

Yes. The apps let you add and edit tasks offline, and changes sync when you reconnect. That makes it dependable for travel or patchy connections, one of the reasons it works well as a personal system.
