Quick verdict

Calendly is the scheduling tool we recommend when you spend too much time trading emails to find a meeting slot. You connect your calendar, set the hours you’re available, and share a link. People pick a time that works, and the event lands in both calendars with a video link attached.

Its biggest strength is that it just works for the person on the other end. Most clients and prospects have booked through a Calendly page before, so there’s nothing to explain. The catch is that the useful extras — multiple event types, reminders, routing and team scheduling — sit behind paid plans, and the free tier is really a trial of the idea.

Bottom line

Solo users can test the idea on the Free plan, but most freelancers and small businesses end up on Standard. Move to Teams only when several people share bookings or you need round-robin routing.

Pros & cons

What we liked

  • Booking pages are clean and familiar to invitees
  • Syncs with Google, Outlook and iCloud calendars
  • Adds Zoom, Google Meet or Teams links automatically
  • Buffers and minimum notice protect your day
  • Payments can be collected at booking on paid plans

What we didn’t

  • The free plan is too limited for real client work
  • Reminders and workflows need a paid plan
  • Team features jump to a higher tier
  • Booking page design options are fairly basic
  • Per-seat pricing adds up for larger teams

Pricing & plans

Calendly has a free plan and paid tiers charged per user, with a lower rate if you pay yearly. The step from Free to Standard is where most of the practical features unlock, while Teams adds the tools a sales or support group needs to share incoming meetings. See the current plans below.

How Calendly billing works

You pay for each person who hosts meetings, not for the people who book them. Invitees never need an account. If only one person on your team takes calls, you only need one paid seat, even if the whole company shares the link. Check whether you need monthly flexibility before choosing yearly billing, since the saving only applies if you commit.

The jump to Teams is worth it only when meetings are genuinely shared. Round-robin distribution, collective events where several hosts must be free at once, and admin controls over everyone’s event types are the main reasons to move up. A small agency where each person books their own clients can usually stay on Standard seats and save the difference.

Feature checklist

Here’s how Calendly covers the features we look for in a scheduling tool.

Ease of use

Setup is quick. You connect a calendar, set your working hours and create an event type, and you have a shareable link. The settings that take a little more thought are the ones that protect your time: buffers between meetings, how far ahead people can book, and how many meetings you accept per day.

  • Event types let you offer different lengths and formats, such as a short intro call and a longer consultation.
  • Workflows send reminder and follow-up emails or texts so fewer people forget to show up.
  • Routing forms on higher plans ask a few questions and send each booker to the right person.
  • Browser extension and mobile apps make it easy to share a link from your inbox or phone.

For invitees, the experience is about as simple as scheduling gets. The booking page detects their time zone, shows only open slots and sends a confirmation with a calendar invite. Rescheduling and cancelling happen through links in that email, so you don’t get pulled back into a thread every time plans change. Our one caution is to review your availability rules after setup, because a missing buffer or a too-short notice window is the most common reason a booking link feels intrusive.

Integrations

Calendly connects to the major calendars and video tools out of the box, and to popular CRMs such as HubSpot and Salesforce so new bookings show up against the right contact. Payment integrations with Stripe and PayPal let you charge for sessions, and anything not covered natively can usually be wired up through Zapier.

Who Calendly is for

Choose Calendly if you…

  • book calls with clients or prospects every week
  • want a booking page people already recognise
  • sell paid sessions such as coaching or consulting
  • need to route leads to the right teammate

Look elsewhere if you…

  • only book a meeting now and then (the free plan or your calendar app may be enough)
  • want a fully branded, custom-designed booking page
  • run class or group bookings with complex capacity rules
  • need scheduling bundled into a CRM you already pay for

Calendly alternatives

Browse the best scheduling tools. If you want new bookings to flow into a CRM or a team chat, our Zapier review explains how to connect them without code. The main reasons people switch are price per seat, the wish for a more branded booking page, or wanting scheduling built into a CRM they already use.

Frequently asked questions

Is Calendly free?

Yes, there’s a free plan that covers a basic booking link connected to your calendar. It’s limited, though, and most people who book client meetings regularly upgrade to Standard for more event types, reminders and integrations.

Do the people booking with me need a Calendly account?

No. Invitees just open your link, pick a time and enter their details. Only hosts need an account, and only hosts count toward paid seats.

Can Calendly take payments?

Yes, on paid plans you can connect Stripe or PayPal and require payment when someone books. It’s a simple way to sell coaching or consulting sessions without a separate checkout.

Does Calendly have a lifetime deal?

No. Calendly is subscription-only. Check our deals page for any current promotions, and confirm plan details on Calendly’s own pricing page.
