Quick verdict

monday.com is the tool we recommend when a team wants to see its work rather than read it. Everything is a board made of rows and columns, and color-coded status columns make it obvious what’s stuck, what’s done and who owns what. Because columns can hold almost any kind of data, the same building blocks run projects, content calendars, hiring pipelines and simple CRMs.

The downsides are pricing structure and plan gating. Seats are sold in bundles, the free plan is meant for trying it out rather than running a team, and useful features like timelines and automations unlock on higher tiers. If your team responds well to visual boards, those costs are easy to justify. If you mostly need a task list, it’s more tool than you need.

Bottom line

Use the Free plan only to test the board style. For real team use, Standard is the sweet spot, because it adds timeline views, automations and integrations that Basic leaves out.

Pros & cons

What we liked

  • Colorful boards that anyone can read at a glance
  • Flexible columns adapt to projects, CRM and requests
  • Dashboards pull data from several boards into one view
  • No-code automation recipes are easy to set up
  • Polished interface with good onboarding

What we didn’t

  • Seats are sold in bundles, so small teams may overpay
  • The free plan is too limited for a working team
  • Timelines and automations need higher plans
  • Automations and integrations have usage caps per plan
  • Docs and wiki features are thin

Pricing & plans

monday.com prices per seat, but you buy seats in set bundle sizes rather than one at a time. Each tier up adds views, automations and integrations, and the automation and integration features come with monthly usage allowances that grow with the plan. See the current plans below, and match your headcount to the nearest bundle before comparing.

How billing works

You choose a plan and a seat bundle, and the price is per seat across the whole bundle. Paying yearly is cheaper than paying monthly. Viewers and guests are handled differently from full members, so check how your clients would join. If you plan to lean on automations, look at the usage allowance for each tier as well as the seat price.

Basic covers the core boards, but it leaves out the features that make monday.com worth paying for. Standard adds timeline and calendar views, guest access, and the first real allowance of automations and integrations, which is why we suggest it for most teams. Higher tiers are for teams that need private boards, time tracking and formula columns, or that run enough automations to outgrow Standard’s allowance.

Feature checklist

Here’s how monday.com covers the features most teams ask about.

Ease of use

monday.com is easy to start. If you’ve used a spreadsheet, a board makes sense immediately, and the templates get you to a working setup quickly. The learning curve comes when you link boards together, build dashboards or design automations, but the recipe-style automation builder reads like a sentence, which helps non-technical teams.

The flexibility needs a little discipline. Because any board can have any columns, two teams can solve the same problem in very different ways, and reports across boards get harder. Agreeing on a few shared status labels and column names early keeps dashboards meaningful as you add more boards.

  • Templates cover projects, marketing, sales pipelines, HR and IT requests.
  • Column types include status, people, dates, numbers, files and more.
  • Automation recipes follow a simple “when this happens, do that” pattern.
  • Mobile apps are good for updating statuses and checking boards on the go.

Integrations

monday.com connects with Slack, Microsoft Teams, Gmail, Outlook, Google Drive, Zoom and many other everyday tools, and Zapier fills in the gaps. Native integrations count against your plan’s monthly allowance, so teams with busy workflows should check that limit before relying on them. A marketplace of apps adds extras like time tracking, forms and document tools, and email integrations let you log conversations straight onto a board item.

Frequently asked questions

Is monday.com free?

There is a free plan, but it’s limited to a couple of seats and basic features. It’s best for testing whether the board style suits you before you pay. Paid plans also come with a free trial, which is a better way to judge features like automations.

Why can’t I buy a single seat?

monday.com sells seats in bundles. If your team size falls between bundles, you pay for the larger one, so confirm the bundle options on their pricing page before you decide.

Can monday.com work as a CRM?

Yes. Boards work well for simple sales pipelines, and monday.com also offers a dedicated CRM product. For a free CRM with more sales depth, see our HubSpot CRM review.

monday.com or Asana?

Pick monday.com for visual boards and flexible, data-style workflows. Pick Asana for clear task ownership and calmer project tracking. Our comparison walks through both.
