Quick verdict

ClickUp is the project management tool for teams that want everything in one place and are willing to set it up properly. Tasks, docs, whiteboards, goals, dashboards, forms and a built-in time tracker all live in the same workspace, and almost every one of them can be customized.

That depth is both the reason to pick it and the reason people leave. Out of the box, ClickUp can feel crowded, and a team that switches on every feature at once usually ends up confused. Start small, turn on only the views and fields you need, and it can replace several separate apps for an agency or operations team.

Bottom line

Try the Free Forever plan to see if the structure clicks, then move to Unlimited once your team relies on it. Business is worth it only when you need advanced automations, permissions or reporting.

Pros & cons

What we liked

  • More views than almost any rival: list, board, calendar, Gantt, table and more
  • Docs, whiteboards and goals sit next to your tasks
  • Built-in time tracking on tasks
  • Custom fields and statuses fit almost any workflow
  • A free plan that small teams can actually use

What we didn’t

  • The interface can feel busy and overwhelming at first
  • Setup takes planning, or the workspace gets messy fast
  • Large workspaces can feel sluggish
  • Frequent updates move features around
  • The AI assistant is a paid add-on

Pricing & plans

ClickUp uses per-member pricing with a free tier at the bottom. The free plan covers the core task features but caps storage and some advanced views, so it works best as a trial for teams and a long-term option for individuals. Paid plans unlock more of everything rather than adding a completely different product. See the current plans below.

How billing works

You pay for each member in the workspace, and paying yearly is cheaper than paying monthly. Guests with limited access are handled separately from full members, which helps if you share work with clients. The AI features are billed as an add-on on top of your plan, so check that line on the pricing page before you budget.

For most small teams, Unlimited is the plan that removes the friction: storage stops being a worry, and views like Gantt and dashboards become fully usable. Business adds more automation runs, advanced permissions and time reporting, which matter once you have managers reviewing workloads across several teams. If nobody on your team is asking for those things yet, you don’t need them.

Ease of use

ClickUp is not hard once you understand its hierarchy: Workspace, Spaces, Folders, Lists and Tasks. The hard part is the first week, when every menu offers more options than you need. Teams that pick one person to own the setup, and agree on statuses and fields before inviting everyone, get past this quickly.

The other habit that helps is saying no to features. ClickUp will happily let you add goals, sprints, whiteboards, mind maps and chat on the same day, but each one is another place for work to hide. Pick the two or three views your team checks every day, hide the rest, and revisit the setup after a month or so of real use.

  • Templates give you ready-made spaces for marketing, sprints, client work and more.
  • ClickApps let you switch features like time tracking or priorities on and off per space.
  • Keyboard shortcuts and quick commands make daily use faster once you learn them.
  • Mobile apps handle checking and updating tasks well, but building workflows is a desktop job.

Integrations

ClickUp connects natively with the usual suspects, including Slack, Google Drive, GitHub and calendar apps, and reaches nearly everything else through Zapier or its API. Because it already bundles docs and time tracking, many teams find they need fewer integrations than with lighter tools. Email can also be sent into ClickUp to create tasks, and built-in automations handle routine updates like moving a task or assigning a teammate when a status changes. If you want a worked example, our client onboarding board guide shows a practical setup.

Frequently asked questions

Is ClickUp free?

Yes. The Free Forever plan includes unlimited tasks and core views, with limits on storage and some advanced features. It’s enough for individuals and a fair trial for teams. Once storage runs low or you want full use of advanced views, a paid plan becomes the practical choice.

Is ClickUp too complicated for a small team?

It can be if you turn everything on. Start with one space, a list view and a board, and add features only when you feel the need. Small teams that do this usually settle in fine.

Does ClickUp have time tracking?

Yes. You can start a timer on any task or log time manually, and paid plans add more reporting. Teams that bill clients by the hour may still prefer a dedicated tracker like Toggl Track.

Is ClickUp better than Notion?

For task-heavy project work, usually yes. For docs, wikis and flexible databases, Notion is stronger. Our head-to-head comparison breaks down the differences.
