Quick verdict
Notion is the tool we recommend when a team keeps losing things between a notes app, a wiki and a task board. It puts all three in one place: pages that can hold anything, and databases you can view as a table, board, calendar or timeline.
The trade-off is structure. Notion gives you a blank page and a lot of freedom, so a team without someone who likes setting things up can end up with a tidy mess. Start from a template and decide on a few rules early, and it’s the most useful workspace we know of for small teams.
Use the Free plan on your own, move to Plus once two or more people work in it. Skip Business unless you need SAML SSO or advanced permissions.
Pros & cons
What we liked
- Docs, wikis and databases in one workspace
- The free plan is genuinely usable for one person
- Database views switch between table, board, calendar and timeline
- Thousands of free templates to start from
- Built-in AI for summaries and drafts
What we didn’t
- Takes real effort to set up well
- Large pages and databases can feel slow
- Offline mode is limited
- Task management is lighter than dedicated tools
- AI is a paid add-on on lower plans
Pricing & plans
Notion charges per member, and paying yearly cuts the price noticeably. Guests — clients and freelancers — don’t need a paid seat, which keeps costs down for agencies.

Ease of use
Writing in Notion feels like any modern editor: type a slash to add a heading, table, board or embed. The learning curve is in databases — powerful, but it takes an afternoon to understand properties, relations and views.
- Templates cover meeting notes, roadmaps, CRMs and wikis.
- Teamspaces keep departments separate.
- Mobile apps are fine for reading and quick notes, less so for building.
Integrations
Notion connects natively with the tools most teams already use, and with everything else through Zapier or Make.
